Terms & Conditions of Booking

Weddings and Events

1. Confirmation

Ribby Hall Village requests that all bookings are confirmed within 14 days of being provisionally held, once the 14 days has expired the date is released. To confirm your booking we require a non-refundable, non-transferable deposit of £750.00. We will then ask you to complete, sign and return your contract within fourteen days. Confirmation of a booking indicates an acceptance of these terms and conditions and a legal binding agreement between both parties. All bookings made within 1 year of the wedding date are required to pay a non-refundable, non-transferrable deposit of £3,250.00

 

2. Further Payment Schedule

1 year prior to the wedding, we will require an interim payment of £2500.00
14 days prior to the wedding we will require full payment of the final invoice.
All prices quoted are inclusive of VAT at the current rate. Please note that management reserves the right to alter prices at their discretion, bearing in mind seasonal adjustments and fluctuations in the market.

 

3. Cancellation of Booking

All cancellations must be confirmed in writing and all payments made prior will be non-refundable. You will be liable to the following charges, based upon initial enquiry details:

− Up to 6 months’ notice 100%

− From 6 months to 1 year notice 60%

− From 1 years to 18 months' notice 30%

 

4. Final Details

Three months prior to the Event or Wedding we will invite you to Ribby Hall Village for an appointment to discuss your final details. Final chargeable numbers will be required 14 days prior to your Event or Wedding. Numbers must include the newlyweds. No refunds, credits or transfers can be given if numbers decrease after this time.

 

5. Amendment & Cancellation by Ribby Hall Village

We reserve the right to cancel any booking forthwith or offer alternative facilities without any liability on our behalf in the event of:

a. Any occurrence beyond the control of Ribby Hall Village, which shall prevent us from performing our obligation towards the booking

b. If the booking might, in the opinion of Ribby Hall Village, prejudice the reputation of Ribby Hall Village

c. If the client has not fulfilled the requested prepayment schedule

 

6. Insurance

It is a recommendation that you take out adequate insurance when booking such an important event to cover all your costs.

 

7. Outside Contractors

Any outside contractors employed by the client must comply with the appropriate current legislation and by in contact with Ribby Hall Village within one month prior to the event. The company must provide documentation relating to their PAT certificate and comprehensive liability insurance with a minimum indemnity of £5,00000.00 no later than 3 months prior to the event. Ribby Hall Village reserves the right to refuse to permit contractors to participate in the event if documentation is not forthcoming. Ribby Hall Village are not to be held responsible for any work carried out by outside contractors. If you are employing the services of an outside contractor, then you will indemnify Ribby Hall against any loss or damage to property or death or illness or injury to any person caused by said contractor and against all claims, costs, demands, proceedings and damages arising there from. All external contractors must be made aware by the booker that Ribby Hall Village operates a maximum noise level of 85db within its venues, for the comfort of our guests and employees alike. Sound checks will be carried out as contractors set up & throughout the event, if the noise levels exceed 85 decibels the contractor will be asked once to adhere to the 85 decibels. If this is not adhered to the contractor will be asked to leave the premises.

 

If you choose to use an Outside Caterer, they are required to provide the following to Ribby Hall Village:

- Employer's liability insurance certificate to the value of £5 Million (minimum)  

- HACCP analysis in respect of their business  

- They must be registered as a food business with their respective local authority  

- They must have a Food safety rating of 5 star rating

- They will need to supply their own team of staff to dispense the food

- All Foods must be delivered in the appropriate food safe vehicle as laid down in the Food Safety act 1990:

- To ensure you do not include anything in food, remove anything from food or treat food in any way which means it would be damaging to the health of people eating it

- To ensure that the food you serve or sell is of the nature, substance or quality which consumers would expect

- To ensure that the food is labelled, advertised and presented in a way that is not false or misleading

- They must be able to demonstrate that their staff are trained commensurate with their role  

- They must be able to provide documented risk assessments for the task or process that they propose to undertake at Ribby Hall i.e. use of deep fat fryers or cooking vessels with thermostatic controls

- If a civil ceremony is to take place at Ribby Hall Village, this must take place prior your Wedding ceremony and pre-arranged with the registrar in advance. You can contact them on 0300 123 6705 to book your ceremony time.

 

The following items are not permitted at Ribby Hall Village:

•Bouncy castles

•Chinese Lanterns

•Outdoor Fireworks

•Real Flame Candles

 

8. Damage

The client needs to obtain approval from Ribby Hall Village, if you wish to fix items to the wall or ceiling. In the event of any damage or loss to Ribby Hall Village, it is the responsibility of the organiser / organisation or its' representatives to make payment to replace any items lost or damaged. Should guests act in an improper or disorderly manner, or refuse to comply with reasonable requests from our staff, Ribby Hall Village reserves the right to terminate their stay, the Managers decision is final.

 

9. Consumption of Food and Drink

Clients on our premises must comply with licensing regulations. Consumption of food and drink other than supplied by Ribby Hall Village is not permitted without prior agreement. Ribby Hall Village does not permit clients to supply or consume their own beverages. Any guest found consuming their own beverages will be asked to leave the premises. Alcoholic Favours are prohibited.

 

10. Disclaimer

Ribby Hall Village accepts no responsibility for the property of the customer or their guests, e.g. gifts, prizes, flowers, cakes or any other items applicable to the event that have not been provided by Ribby Hall. All items left on the premises are at the owner's risk. Your Planner will arrange a convenient time with you for the collection of your items following your event or wedding.
