Introduction

These Cottage Booking Terms and Conditions (the Terms) should be read in conjunction with Our General Terms and Conditions, made available via www.ribbyhall.co.uk/legal and details the specific terms on which you may make bookings to stay at any of Our Cottages (Cottages). PLEASE HAVE SPECIAL REGARD TO THE GENERAL TERMS.

Defined terms shall take the meaning given to them in the General Terms unless otherwise defined in these Terms:

Acknowledgement means the written confirmation of and acceptance of your booking provided by Us to you.

Contract means the contract between Us and you comprised of these Terms, the Literature you have sought to rely upon at the time of booking and the Acknowledgement.

Deposit means the non-refundable sum paid by you at the time of the booking as referred to under the ‘Prices and Payment’ section below.

Holiday Price means the full price of the stay at the Village as quoted in the Literature current at the date of booking, which may be amended from time to time by Us.

Reservation Form means the form completed by you at the time of checking in or following receipt of the Acknowledgement.

The Contract

Your booking is an offer to Us and no legally binding contract shall exist between you and Us until We have received your Deposit in cleared funds and We have issued the Acknowledgement containing your booking reference number.  You may cancel this Contract in accordance with the “Cancellations” provisions set out below. The Contract applies to your stay at the Village. Any changes or additions to the Contract or to these Terms or the details in the Reservation Form must be agreed in writing between you and Us.

You are responsible for ensuring that each member of your party complies with this Contract and all appropriate laws and bylaws and you shall be responsible for any breaches of the Contract or such laws or bylaws by any members of your party, whether they are staying at the Village or are day guests. We reserve the right at Our absolute discretion to cancel your booking or instruct you or your party to leave the Village immediately, without compensation or refund, should you or any member of your party not comply with the terms of the Contract. You confirm that all information provided by you on the Reservation Form or otherwise is complete, true and accurate in all respects. Once complete, the Reservation Form shall be incorporated into the Contract.

Price and Payment

All Prices are inclusive of VAT which will be charged at the applicable rate in force from time to time. The price includes your right to use all facilities at the Village listed as FREE in the Literature current at the time of booking, for the use of all other facilities at the Village additional charges apply. A Deposit of £100 is required to secure your booking, excluding Christmas and New Year breaks, where a £250 deposit is required. Deposits can only be made by credit or debit card or by redeeming Our vouchers. Payment of the balance of the Price shall be paid in full no later than 8 weeks prior to your arrival at the Village. Please note that reminders will not be sent.  If the balance of the Price is not received by Us in full at least 8 weeks prior to your arrival, We reserve the right to terminate the Contract and treat your booking as having been cancelled without further notice to you.  The Deposit will not be refunded. For reservations made within 8 weeks of arrival, payment of the Price is required in full at time of booking. We reserve the right to invoice you (or recover the cost from the payment details which you provided upon payment of the Price to Us) for the cost of remedying any breach of this Contract.

Villanova, The Coach House, The White House & The Farm House

All the terms above apply to you booking the Coach House and the White House other than where the provisions below are inconsistent, in which case, the following clauses shall apply.

Deposits

A non-refundable Deposit of £250 is required to secure your booking. The remaining balance is to be paid no later than 8 weeks prior to your arrival, otherwise We reserve the right to terminate the Contract and treat the booking as cancelled without further notice to you.

Arrival and Departure

You are welcome to arrive and use Our facilities that are included within the Price from 12 noon on the day of arrival. We aim to have your accommodation ready for your arrival by 4pm. To ensure efficiency of Our checking in procedure, keys should be collected by 1 person only per party from our guest reception on presentation of the Acknowledgement. If you are likely to arrive after 8pm, please telephone 01772 671111 so that We can make alternative arrangements for you to check-in to your accommodation. Your accommodation must be vacated and keys returned to the main reception by 10am on the day of departure and We reserve the right to charge you an additional fee of £30 for every hour (or part of an hour) for which you are late in vacating your room as compensation for not being able to ready this for the next guests due to arrive. For the avoidance of doubt you shall be deemed to be an hour late if you are 1 minute late. You are however welcome to use all other Village facilities that are included within the Price on your day of departure up to 4pm. Guests wishing to use any additional Village facilities will be subject to additional charges.

Please notify Ribby Hall Village at the time of booking if you require to bring an assistance dog during your stay.

Amending Your Booking

Please contact Us immediately quoting your booking reference number if you wish to amend your booking. We will use reasonable endeavours to make the necessary amendments to your booking and if able to do so shall forward you a revised Acknowledgement.

We reserve the right to charge a £30 administration fee per booking change. Where We are unable to amend your booking and you wish to cancel your reservation, please refer to the “Cancellations” section below. Deposits are non refundable.

Our Right to Decline

We reserve the right to ask for information about any member of your party including age, name, email, tel. no., any medical conditions and address details. You warrant that you have obtained the express consent of the member of your party whose personal data or sensitive personal data you disclose to Us in accordance with this section and that you shall at all times comply with the provisions of the Data Protection Act 2018 (“the DPA”). We reserve the tight to decline bookings including but not limited to adult only and same sex groups including hen and stag parties and where groups of individuals are under the age of 21 years. If you or a member of your party has had an infectious or contagious medical condition within 4 weeks of your stay, or during your stay you may also be asked to refrain from partaking in certain activities or you may be asked to leave the Village, should We deem it necessary to protect the health and safety of other guests and staff. We reserve the right to refuse admission, or to deny the continued occupation of any type of accommodation, for whatever reason, at its sole discretion and without prejudice to Our rights to retain sums that have been paid.

Cancellation

The Deposit is a booking fee, which will be forfeited if a booking is cancelled. Under no circumstances will the Deposit be refunded or transferred. In the event of the booking being cancelled after the balance of the Price has been paid, and within 8 weeks of your arrival you will be liable for the entire Price and no part of the Price paid will be refunded.

Where cancellations are received more than 8 weeks prior to your scheduled arrival you shall only be liable for those payments already made by you to Us, which for the avoidance of doubt We shall not refund.

Other than in circumstances in which We are entitled to treat your booking as cancelled, all cancellations must be put in writing and notified to Us immediately. Our prices do not include cancellation insurance cover. We advise you to take out your own personal cancellation insurance.

Special Requests

You may request to reserve a specific cottage for your holiday and We will use its reasonable endeavours to comply with such a request.  Subject to availability, We shall upon receipt of a charge of £15 secure the reservation of such requested cottage.  A full refund will be available of this charge if the cottage subsequently becomes unavailable due to maintenance.

Special requirements and Disabilities

We welcome guests with limited mobility, disabilities, and medical or particular care requirements and aims to ensure that its services are as accessible as reasonably possible so it is important that you make Us fully aware of any special needs, requirements and conditions prior to Us issuing the Acknowledgement in order that availability, suitability and potential reasonable adjustments may be discussed. This may include any requirement for a guest to be accompanied by someone who is able to provide any particular needs they may have over and above any reasonable adjustments We are able to make. A risk assessment may also be required prior to confirming the Acknowledgement or allowing participation in certain leisure activities. We rely on the information you provide to help it anticipate and satisfy your needs. You must therefore keep Us informed as to any change in circumstances prior to and during your stay. Standard wheelchair access only is available and We have only one adapted cottage.

 

Car Parking & Driving in the Village

All vehicles must be parked in designated parking areas. There is parking for 1 car outside your accommodation. Additional parking is however available within the Village. The White House, The Farm House and the Coach House have parking for 4 vehicles and Villanova has parking for 3 cars, within their own private grounds.

Dog-Friendly Cottages

Your booking of a dog-friendly holiday cottage is subject to certain expectations and you hereby agree and acknowledge that unless otherwise agreed in writing by Us, the only pet We permit you to bring to the Village is a dog and that you may only bring a maximum of two dogs with you.

By making a booking you warrant that your dog is not a Dangerous Dog and that you shall not bring a Dangerous Dog to the Village. There are only a limited number of dog-friendly holiday cottages available and therefore your ability to secure a dog-friendly holiday cottage is subject to availability. In making a booking for a dog-friendly holiday cottage you take on all personal health risks in respect of any allergies, which you may suffer from and understand that numerous different dogs may have stayed in the holiday cottage prior to your stay. Whilst We make every effort to clean each holiday cottage prior to your stay, to the extent that it is able to do so, We shall not be liable for any allergies or health consequences that you suffer from when staying at a pet-friendly holiday cottage.

When making a booking for a pet friendly holiday cottage and attending the Village, you warrant that your pet:

(a)   has at the very least received an annual vaccination for distemper, canine hepatitis, leptospirosis, parvo virus and any other vaccination required by Us from time to time and that it is free from any illnesses, viruses, parasites, fleas and infections;

(b)   will be supervised by you at all times throughout your stay at the Village, ensuring that whenever it is outside of your holiday cottage, your pet shall be kept on a lead;

(c)   will not be or cause a nuisance or threat to any other users of the Village including Our staff and contractors;

(d)   will be kept in a secure place either in an alternative room or outside of your holiday cottage, away from Our staff or contractors whenever they are required to attend your holiday cottage during your stay at the Village and that in such circumstances you shall at all times comply with any requests made by Our staff or contractors;

(e)   will not be taken into any building other than that which We have permitted you to take it, namely your holiday cottage; and

(f)    shall use only the designated toilets or fouling areas notified to you by Us and that you shall immediately pick up any foul in a plastic bag and place it in the available designated bins.

Where We, acting in our absolute discretion, deems that you have or are reasonably likely to breach any of the warranties provided by you or that your dog is a Dangerous Dog, it may without liability to refund or compensate you whatsoever, order you to:

(a)   remove it from the Village;

(b)   leave the Village completely;

For the avoidance of doubt, where you decide to put your dog in kennels and continue with your stay at the Village, you shall do so at your own expense and risk.

Damage to Our Property and Compensation

You must use Our accommodation and facilities with care. On departure you must leave your accommodation in a reasonably clean and tidy condition as you found it. We reserve the right to invoice you (or recover the cost from the payment details which you provided upon payment of the Price to Us) for the cost of remedying this breach should you not comply. You will be liable for loss or damage to any property belonging to Us caused by you or members of your party or guests and We reserve the right to invoice you the cost of making good any such damage or the replacement of any property.

Linen and Towels

All bed linen, duvets and pillows are provided. Towels are provided for use in the cottages. We request you bring additional towels for use in the swimming pool. If you require a change of bed linen, additional towels or your accommodation requires servicing during your stay, there is a charge for each service. Stays of over 7 nights will receive a weekly change of bed linen and towels.
