Booking your short break / holiday
Phone lines are open 8am - 8pm, seven days a week. Online booking available 24/7. Your booking contract incorporates the entire contents of the 2008 Ribby Hall Village brochure and website, your completed reservation form and if applicable any additional promotional literature available when booking. Every member of your party must comply with the 2008 booking terms and conditions. The terms and conditions are effective from the date you make your reservation until you leave Ribby Hall Village, including any extensions of time to your original booking. All guests must also adhere to any Ribby Hall Village rules, including all local authority legislation.
Prices and payment
All tariffs are inclusive of VAT (at time of print VAT is at 17.5%). The price includes use of all facilities listed as part of 'Your holiday package' on page 29 of the 2008 brochure. For all other facilities additional charges apply. A nonrefundable deposit of £75 is required to secure your booking. Deposits can only be made by credit, debit cards, or Ribby Hall Village vouchers. Should you decide to pay by credit card 1.5% of the value of the booking will also be charged. Payment in full is required no later than six weeks before your arrival. Please note that reminders will not be sent. If the balance is not received six weeks prior to your arrival, you risk losing your accommodation. Balances paid by cheque must be made payable to 'Ribby Hall Village'. Post-dated cheques will not be accepted. For reservations made within six weeks of arrival, payment is required in full at time of booking.
Arrival and departure
You are welcome to arrive and use our facilities from 12 noon. We aim to have your accommodation ready for your arrival by 4pm. Housekeeping will attach a tag to the front door of your accommodation once it has been serviced. To ensure efficiency of our checking-in procedure, keys should be collected by one person only, per party from our main reception - on presentation of your confirmation letter. On arrival each guest is issued with a Ribby Hall Village membership pass. If you are delayed and are likely to arrive after 10pm, please telephone 01772 671 111, so that we can make alternative arrangements for you to check-in to your accommodation. Your accommodation must be vacated and keys returned to main reception by 10am on the day of departure. You are however welcome to use all other facilities on your day of departure up to 4pm.
Amending your booking
Please call us immediately quoting your booking reference number if you wish to amend your booking. We will endeavour to make the necessary amendments, and will forward you a revised confirmation letter. We reserve the right to charge a standard £25 per change to a booking.
Our right to decline
We reserve the right to ask for information about any member of your party including age, name, email, and address details. We also reserve the right to decline bookings for hen and stag parties and where groups of individuals are under the age of 21 years. If you or a member of your party has just had an infectious or contagious medical condition you may also be asked to refrain from partaking in certain activities or you may be asked to leave Ribby Hall Village, should we see fit to protect the health of other guests and staff. The company reserves the right to refuse admission, or to deny the continued occupation of any type of accommodation, for whatever reason, at its sole discretion and without prejudice to the company’s rights to retain sums that have been paid.
Cancellation insurance
The deposit is a booking fee, which will be forfeited if a booking is cancelled. Under no circumstances will the deposit be refunded or transferred. If the balance is not paid on the due date we will consider the booking as cancelled. In the event of the booking being cancelled after the balance has been paid, you will be liable for 100% of the total holiday cost and no part of the balance will be refunded. All cancellations must be put in writing. Please note: Our prices do not include cancellation cover. Should you wish to cancel your holiday please notify us immediately. We advise you to take out your own personal cancellation insurance.
Special requests
Requests for a particular cottage, pine lodge or location cannot be guaranteed, with the exception of Sapphire cottages. All other cottages will be allocated on a first come, first served basis, albeit we shall always endeavour to meet your requirements. We welcome guests with restricted mobility, special needs or care requirements provided you have discussed and agreed the suitability of the accommodation with a member of the reservations team prior to booking. To avoid disappointment and any misunderstanding regarding your preferred accommodation, you will be asked to provide (at time of booking) a risk assessment certificate for any guests with special needs. Such discussions will also enable us to provide the most suitable accommodation, as adapted accommodation is limited, and will allow us to highlight any possible difficulties during your stay.
The media
Members of the press or media are not to be invited onto Ribby Hall Village premises without express permission of the marketing department. You may not use photographs of our premises, facilities or staff without written consent.
Filming and photography
We do not allow any filming or photography in or around the swimming pools and changing areas.
Data protection
Information provided when booking will only be used by Ribby Hall Village. We reserve the right to provide you from time to time with details of new facilities or special offers by post or email. Brochure accuracy
All information, pictures and descriptions are accurate at time of going to print. As we continually strive to improve the accommodation and facilities on offer, during your stay some facilities may be closed to carry out essential work in segregated areas. We cannot guarantee that all facilities will be available at all times, due to essential maintenance requirements, seasonal variations and weather conditions. All reasonable efforts have also been made to ensure that your holiday complies with all relevant legal requirements.
Care of your possessions
It is your responsibility to look after and take care of your possessions, valuables and money during your stay. We recommend you do not leave such possessions unattended in your accommodation and therefore suggest you do not bring valuable possessions on holiday unless absolutely necessary. In case of any loss please contact security or the main reception. To have any lost property returned, guests are expected to pay a minimum postage cost of £5.
Fishing
To preserve the ecology of the ponds we do close them in rotation to ensure a continued healthy and vibrant fish population. Licence required for those over the age of 12 years. No night fishing permitted. Guests can however fish 7am to 10pm only, please check availability at time of booking. Passes are available to purchase on arrival for fishing at our main pond Fisherman's Reach - £7 per day, £15 per weekend or midweek break, £25 per full week.
Liability for personal injury, loss or damage
Neither the company, nor its servants nor agents accept liability for any personal injury, loss or damage which may be sustained by the applicant or their property during their stay, except where it arises from the negligence of the company, its servants or agents.
Car parking
All vehicles must be parked in designated parking areas. We guarantee parking outside your cottage accommodation for one vehicle only, additional parking can be found within 50 metres of your accommodation. The Coach House has parking for four vehicles within its own private grounds. Our parking areas are not supervised, so before leaving your vehicle please remove your possessions and ensure it is fully secured. We do not accept liability for loss or damage to your vehicle.
Powerscooters / go-peds
The use of petrol or battery powered scooters is strictly prohibited within The Village.
Visitors
Day passes can be purchased at £12 per adult, and £6 per child, subject to availability. Details are available from our sport and leisure complex. Telephone 01772 682 000 for further details.
Children's supervision and parental responsibility
You must supervise your children and babies at all times, particularly important when close to the fishing ponds and boating lake.
Swimming ratios
1 adult to 1 child under 4yrs old. 1 adult to 2 children 4 - 7yrs old. 1 adult to 4 children 8 - 12yrs old.
Pets
With the exception of guide dogs, we do not allow pets. Failure to comply will result in a booking being terminated.
Damage to our property and compensation
Your accommodation is thoroughly cleaned before your arrival, however if you require additional cleaning during your stay, there will be an extra charge incurred. You must use our accommodation and facilities with care. On departure you must leave your accommodation in a clean and tidy condition. We reserve the right to invoice you should you not comply with this requirement. In the event of any damage to the accommodation, furnishings, fittings or contents, we reserve the right to seek compensation. Guests therefore have a duty to inform reception during their stay of any breakages using the honesty envelope provided, or by calling into the main reception.
Clinical waste
Must be separated from domestic waste, wrapped in the regulatory yellow clinical waste bags and discarded in the central clinical waste receptacle provided by housekeeping. Guests must provide and utilise their own sharps boxes, and regulatory yellow clinical waste bags, as these are not provided. We reserve the right to invoice guests who do not adhere to this request.
Please provide your own towels
With the exception of the hotel, towels are not provided in any other type of accommodation. All bed linen, duvets and pillows are however provided. Additional charges will apply if you require a change of bed linen during your stay.
Messages
Limited facilities exist for taking messages, as telephones are not installed in the cottages, pine lodges or the Coach House. We shall do our best to assist, but cannot guarantee delivery or time of delivery. You are responsible for checking at reception for any incoming messages, and visitors.
Miscellaneous
Ribby Hall Village membership passes are issued to each guest on arrival. Any replacement passes will be charged at £10 per person. Guests must keep passes on their person at all times during their stay.
No smoking policy
Smoking is not permitted in any type of accommodation or any facility.
Energy Efficiency
We work hard to improve our energy efficiency and reduce our carbon footprint on the environment and we would ask our guests to respect our objectives and switch off lights and electrical appliances if they are not needed.
Recycling Policy
Ribby Hall Village strongly supports the environment and we have worked hard to develop our own recycling policy to meet and exceed the minimum legal compliance. We would ask all our guests to recycle their waste after their stay. Details will be provided on arrival.
Hotel Suites
Arrival and departure
Suites are made available from 3pm on the day of arrival. Your suite must be vacated by 11am on the day of departure. You are however welcome to use all other facilities on your day of departure up to 4pm.
Prices and payment
All tariffs are inclusive of VAT.
Deposits
For bookings up to the value of £100, a £50 deposit is required. For bookings up to the value of £200, a £75 deposit is required. For bookings over £200, a £100 deposit is required. All deposits are non-refundable and non-transferable. Final balances must be paid on departure.
Cancellation of your stay
If we are notified of a cancellation 72 hours prior to the day of arrival the cancellation will be made without any further charge, although the deposit will be forfeited, however we do reserve the right to charge for the first nights accommodation in full if the cancellation is made within 72 hours of arrival.
